Digital Review

Digital Review — Know What Your Tech Really Costs

Most organisations don't know what their digital tools truly cost, where capability overlaps, or where money is being wasted. We help you find out — quickly, clearly, and without the jargon.

Why You Need a Digital Review

Fragmented Tool Estates

Most businesses accumulate tools over time — a CRM here, an email platform there, analytics everywhere. Nobody has the full picture of what you're paying for or where capability overlaps.

Hidden Costs

Licence fees, integration costs, support contracts, training — the true cost of your digital estate is almost always higher than you think. We find the number that matters.

Underused Platforms

Paying enterprise prices for tools used at 10% capacity is more common than you'd expect. We assess actual usage against what you're paying.

No Clear Roadmap

Without a clear view of your estate, rationalisation decisions are guesswork. We give you a prioritised, evidence-based plan.

How It Works

A structured five-phase process from discovery to recommendations

01

Discovery

We catalogue your complete digital estate through stakeholder interviews, platform access, and contract review.

02

Mapping

Every tool is mapped against a capability framework to identify where multiple platforms serve the same function.

03

Costing

We build the true total cost picture — licences, integrations, support, training — everything rolled into one view.

04

Assessment

Light-touch review of actual usage versus licence entitlement. What's earning its keep and what isn't.

05

Recommendations

Prioritised findings with a traffic-light assessment: keep, review, or rationalise. Written for senior stakeholders.

Light Diagnostic

What's included:

Full estate inventory, capability mapping, total cost of ownership summary, and a traffic-light assessment of every tool.

Based on:

Stakeholder interviews, contract and invoice review, and platform walkthroughs.

Output:

Digital Estate Register, Capability Overlap Matrix, TCO Summary, and Executive Summary with prioritised recommendations.

Deep Technical Analysis

What it adds:

Detailed usage analytics, integration dependency mapping, data flow analysis, and migration feasibility assessments.

Based on:

Platform analytics access, API and integration audits, and hands-on technical review.

Output:

Everything from the Light Diagnostic, plus a detailed rationalisation roadmap with migration plans and risk assessments.

The first stage tells you what you have, what it costs, and where the obvious problems are. The second tells you exactly how to fix it. Most clients start with the first and commission the second based on findings.

Digital Review Questions Answered

How long does a Digital Review take?

For a mid-size estate (15-30 tools), a typical review takes 3-4 weeks from access to final output. Larger or more complex estates may take longer, but we'll scope this with you upfront.

What access do you need?

We typically need read-only admin access to key platforms, plus time with your IT/digital lead, marketing lead, and finance contact. We also need invoices or contracts for your digital tools. We work with what's available — we won't hold up the review waiting for perfect data.

Is this just for large organisations?

Not at all. We work with businesses of all sizes. Even a company with 10-15 digital tools can benefit — that's often where the most surprising overlap and waste hides, because nobody's had reason to audit it before.

What happens after the review?

You'll have a clear picture of your estate, its true cost, and where the opportunities are. Many clients act on the quick wins immediately (consolidating duplicate tools, downgrading underused licences) and commission deeper analysis for the more complex changes.
